Flight Information

Finalists will travel October 4 - 8, 2025. All travelers must be legal U.S. residents with a valid, government-issued REAL ID for airport security purposes. 

Your team's flights will be arranged and confirmed, with details mailed to your drive-in.  Double-check that your name matches the one on your government-issued ID exactly.

Flights will depart for Nashville, TN, on Saturday, October 4. Please arrive at your departure airport two hours before boarding. You'll receive a Mastercard prepaid card in your pre-trip packet to cover one checked bag per person; additional checked bags are at your own expense. 

Upon arrival in Nashville, proceed to the baggage claim area, where Games staff will greet you and guide you to transportation. Return flights are scheduled for the morning of Wednesday, October 8.

Please note: Teams will fly from their nearest regional airport, which may require a connecting flight. All team members must travel togetherAny costs incurred due to name changes or late updates will be the responsibility of the drive-in or franchise.

Ground Transportation

Ground transportation in Nashville, including airport pick-up and drop-off, as well as SONIC events, is provided. Some events may be within walking distance of each other. Please note that transportation isn't provided for personal plans or leisure activities outside of the official schedule, but many attractions are within easy walking distance of the hotel. For special assistance needs, contact Games HQ at 800-787-3794. 

Hotel

The DR PEPPER SONIC GAMES covers all hotel costs (excluding incidental charges). You'll stay at the Omni Nashville Hotel.

Each team will be provided four (4) rooms (two (2) queen beds per room). Managers will need to submit an accurate list of team members during the registration process. Managers will be responsible for assigning rooms. Teams cannot share rooms with members from other teams or the opposite sex. Note: All rooms are non-smoking, and any smoke-related charges will be billed to the occupants. 

Expenses

All expenses associated with the SONIC Principals Business Meeting — including registration, flights, ground transportation, hotel, and meals — are covered by the DR PEPPER SONIC GAMES. However, incidental charges (i.e., phone calls, movies, room service, smoking fees, or damage) are the responsibility of the room occupants. 

Meals

All meals throughout your trip will be covered — some through official events, others via a meal allowance given to the team Manager. Be sure to note any dietary needs in your registration

The team members that have been submitted are considered final and can not be changed. If there is an emergency that requires a change, please call Games HQ by September 8th. All costs associated with changes will be charged to the Franchise. 

Guest Information

Guests are welcome to join the fun, but must register in advance to attend Games events, such as the Competition, Champions Dinner, and Event Day. Guest registration is now open. Registration costs, up to $150, are due at the time of registration, with a deadline to complete registration by Wednesday, August 20, at 5:00 p.m. ET. What to Pack

Nashville is warm in October, with average highs in the 70s and lows in the mid-50s, so pack light layers, sunglasses, and sunscreen.

You'll be provided: 

  • A DR PEPPER SONIC GAMES T-Shirt (for arrival day)
  • A SONIC uniform shirt (For competition)
  • A SONIC top and jacket (for the Medal Ceremony)

Also bring:

  • Black pants (for Medal Ceremony)
  • Casual outfits (for dinners, leisure times, and the return trip)
  • Something special for the SONIC final night reception and concert (or wear your medal ceremony uniform and medals)

Expect to collect plenty of swag and giveaways — leave extra room in your luggage! Refer to the “What to Wear” section for the provided clothing items.
